Week 9 - Research and Budgeting


The Meeting

We began this week’s meeting by looking at the new poster design from last week and voting on which colour we should move forward with, after the vote the white poste got no votes while the yellow poster got 3 votes but the black poster won with 7 votes, making it our final poster. This is great as it means work can begin on the invitations and magazines designs, as well as the setup of social media accounts with the new look. Next we talked about catering, following on from a few weeks ago, people are still very undecided on what to do about the catering as the cupcakes from the private company seem really good but if we order the 100 we need at £1 a cake its ends up taking a huge chunk of the budget and so the idea of just batch buying some cupcakes from Costco was put to the group by the Venue Team. This could be a good alternative as it means we save money on something which isn’t overly important we can then spend on advertising. Next we discussed the booklets, the team put out that they had done some research into prices and that if we were to have a two page spread per person with an estimated 30 people exhibiting it could cost £340 for 60 copies, this is an awful lot so to cut down on budget we have decide to print out 30 ‘nice’ ones for the exhibitors to take then 30 ‘cheap’ versions to hand out to the public in order to cut costs. This is also good as it is yet again making space for money to be spent on more important things such as posters and banners. Overall the main thing that came to light in the meeting is the fact we really need a budget drawing up and that finance needs to seriously get to work as right now nobody really knows how much money they have for their area to spend, this lack of a budget heavily hindered this meeting as many prices were starting to come up but no one really knew if it was too much or not in relation to the budget and so hardly any progress was made in this aspect.

In conclusion though a lot was discussed in the meeting and various things are starting to move forward which is good but the lack of a budget is really starting to harm the progress of the planning and needs sorting out soon; to help with this our team is going to work out how much we need for the layout so it can be factored into the budget. The change in the magazine and the advancement with the poster however are the signing lights of this meeting which means a lot more can move forward. I also think the communication problems are starting to mend, it’s been 2 weeks now since the last argument and people seem a lot more relaxed and talkative in meetings which is also great and if we can get the budget done for next week things will be right on track.


The Layout Planning

After the meeting we noticed that we don’t have a list of people who are attending the exhibition, or what they need; so the first thing we did today was go around every department and get a list of everyone who will be exhibiting at the exhibition and just how many boards, plinths, or anything else they will need. We also came up with the idea of having business card holders on the walls next to the name tags for people to put their business cards in, we also decided that this would be something to also ask people as we went around. After going around we had a complete list of everyone and everything they need; this will also making arranging the layout clearer as we now know exactly what people want.

After this we sat down with our art layout designs and worked to create the final layout design, we all got out and looked at each others designs, personally I really liked how Tasha had used the back wall as a place to out a lot of the artist then had various free stands to hold everyone else. I also liked how she had positioned I formation boards in the design to house easels at the end. For Paige's design I really liked how she has created spaces and a pod like system through her design, this would be great as it would create spaces people could walk in and out of and help create an atmosphere, though I did have one small problem with her designs with some of the boards blocking out the light  near the front which could be a problem later on. After the discussion we ended up going with a slight variation on my original design with an altered centre stage, this alteration helps to create shaped spaces which should help with the atmosphere and help create an interesting place to walk around.



After this had been sorted we showed it around the rest of the art department and they all liked the plan and agreed with it which was great.  Next we did the final work for the day which was to visit Wilkos in town and get some quotes for how much the variety of stuff we need so we could write up a base budget. 



Overall we found that the big buckets of emulsion paint priced in at £10 each while the rollers came in at £3-5 depending on the size of the roller and pan, the brushes came in at £1.50. We added it all together and came up with a base budget of £40 for everything which should be well in budget.

When at home I decide that I could do with doing some more research into the layout, as at this point all we had really done to research the layout was made a mood board early on, so I looked around at different exhibition images online for inspiration, one of my favourites was a photo-graphical exhibition at the natural history museum where they had use boards to create a blokish shaped exhibition with defined areas which I really like.




I also really liked another image where they have used wooden frames instead of boards, this could really work for us in some capacity as when we design the spaces we have to be careful not to block the light coming in form the main dome, but if we have frame boards then this wouldn’t be an issue and light would still be able to come into the back without obstruction, to test this further I drew up a quick sketch of what they could look like.


 Also as a part of this research I visited an exhibition at Birmingham City University to get some possible ideas, overall it was a really insight full trip as they had used great wooden board to hold their exhibition with a small sectioned of room in the middle which had been painted black on the inside where a TV was playing some work; this worked really well and could be implemented into the next layout, the shape of the exhibition could also be taken for inspiration as they also went for this way or trying to create areas where you are surrounded by the work and create an atmosphere in these areas using this. I'll take all of this into consideration when designing the next layout as one other thing I learnt looking at these designs is that one of the best ways to create a space is to either reflect it with a convex wall mirroring the other side to create a space, or simply following the shape to create a tunnel like effect in the space; both of these will be  incredibly useful in designing the photography space which is next.

In conclusion a lot has been done in the past week for the layout progress, with the art department being complete, and the list and budget being written up is also successful. The research has also been very inspirational and will be useful moving forward with the designing process. Overall it has been a really good week for the layout and all I can really hope is that we can keep this pace up and get it all completed in time.
