Week 16 - The Run Up


The Meeting

Before the meeting could even began Lance had some news for us, basically we had no boards. So the boards are kept in a storage unit which apparently isn’t completely waterproof, because of this the board have become rotten and only a few of them are good for use, as a backup plan collage has supplied us with PVC Tubing in their place. (shown below)


I am pretty shocked at this as only two weeks ago we had John from 3D count them and yet somehow not notice they were rotten, and it also battles me as to why they aren’t kept somewhere damp proof. This new change will be a huge hindrance for many reason, firstly we are told this with half a week to go till the exhibition giving us not long to adapt plans and change. Secondly the appearance of the tubes is not appealing, I believe in a clean modern space they could work but we will be working in a cultured, ugly, badly vintage space, in which we were relying on the boards to cover up said aesthetics giving us a clean bold space to show out work however with this they will be lost to the now very visible background and just end up looking empty with such a huge space, low numbers, and now not even the impact of the white background. We have decided to try and follow the new plan as much as possible but it will still be a huge compromise and will have a great impact on the event. After this we went back to the meeting which was mainly just figured out time tables and who will be on what, me, Tasha, and Paige are going to be on painting the boards on the Monday and in on the Tuesday to watch over the exhibition, this is all fine with me and my schedule and should hopefully go well. We also went over some final prices with the booklets costing £153 overall and the catering £70 for the handmade cupcakes we decide on after figuring out we had more money than anticipated. After the meeting we had a small go at putting together the piped and understanding how they worked, it was pretty easy to son it will at least save time on the day but I’m not sure its worth it. This was pretty much it for the meeting since all the posters had been distributes, the booklets where in print, the banners where ready to go and the cakes where being made; all that’s left now is the exhibition.

In conclusion the actual meeting went well everything is ready for the Monday but the fact we no longer have boards is a huge issue and big hindrance and will no doubt effect the final exhibition very negatively but there isn’t anything we could have done about this and it is yet just another compromise on the layout.

 The Layout Planning

The first thing we did was collected the now printed and cut out name boards which had come out really well, we put an image out to everyone in the chat and they all gave positive feedback agreeing that they were good which is great. (shown below)


 After this we headed on down to BBQ where we picked up a chalkboard paint, gaffe tape, masking tape, and where we picked out mustard for the bars on the few boards we were going to use. The price came to £28.27 which finished of the last of the budget for our department and meant everything was now brought and ready to go, we left it all in the common room to pick up on the Monday.

In conclusion we managed to sort out the last of the budget list and get everything prepared in time which will help us when the exhibition comes around and hopefully help things run smoothly.
