Week 12 - Completion of the Detailed Plan


Meeting No.1

This is the last meeting before the Easter break so where was an awful lot to cover; we started off with the magazine draft. The Magazine Team had done more research and it would still cost fortunes to have two pages per person, due to this we decided to have a go with one person per a page to see how that looks and coast to see if it would be worth it for the money saved and have this done over the break. The next was a few points I had with the Octagon Centre, the first one was the large about of broken or flashing lights and whether or not they could be fixed before the opening night, the Venue Team responded by saying they would ask and see what they could do, next was about the popcorn machine I had notice placed at the bottom of the stairs which lead to the area we have to work with and whether it is owned by the Octagon and could be moved upstairs for the exhibition as it could be pretty cool attraction to have a popcorn machine at the exhibition, the Venue Team also said they would ask and get back to us. The last topic I brought up was whether we could use the catering glasses at the collage but the rest of group responded saying that if you use the glasses you also have to hire out the hospitality staff too, this would be one hell of a fuse and simply not worth it for glass glasses and would be much better just to get plastic. The next topic was the window vinyls that would go in the large bay windows, in the meeting we had already decided to have some variant of the logo on the poster put up in the window but size hadn’t been decided and it has mostly come down to cost, with the large A3 prints costing £30 each and the A4 costing £14.30 each, after quite a heated discussion between the Venue Team and the Design Team the smaller print was decided upon. The last topic was catering and weather to take the offer for the £1 cupcakes with trey backs from the CafĂ©, after some talk it was decided to have a look at the prices of Costco cupcakes and Asda cupcakes again as these still seem to be the best alternative but we wanted prices just to be sure.

Overall it was a highly productive meeting which was definitely helped by the great communication between everyone and the fact that everyone was comfortable talking and discussing the topics that where brought up, though maybe hindered a little bit by the small argument over the price of vinyl stickers even still though the fact we had managed to sort it out was great, as well as moving forward with the catering and booklet and just overall being a productive but uneventful meeting which is great I hope it keeps up.


Meeting No.2

We decided to have a small second meeting the next day to make sure everyone knew what they were doing over Easter and that everything that needed to be sorted beforehand was. After growing though the room it was clear everyone knew what they were doing, however the Social Media Team where unsure as to what they were doing and unable to really post anything as no one had sent in photos to post, so we made it homework for everyone to send in images in the next week and for the social media to being the previously discussed plan of a row of three per person and really start laying on the social media and really start advertising. Next to come up where the quotes on the leaflets at £65 for 400, we all thought this was a good price but we re-evaluated how many leaflets we need and decided 400 for 20 people to hand out was a bit excessive and so cut it down to 200 which would also slash the price in half which is great as they are unsure yet of how much the Banners, posters, and stand up posters are going to cost so we really need every penny.

In conclusion everything was set up right and we were ready to head into the holiday with a good idea of what was happening after yet another successful meeting. The only thing I would improve about this meeting is the handling of the budget as I do feel we should have a price for posters and banners at this point and its disappointing we can’t move on with that and is beginning to hinder the project. Overall though it was still successful and the project is still heading in the right direction.


The Layout Planning

The first thing we did for the layout was complete the detailed plan, for this we immediately set to work on creating the Graphic Design Department space. To start with we all draw up some base designs taking inspiration from the previous layouts, personally I struggled to come up with anything I liked and as we just wanted to get the design finished at this point before the break so we just continued with what Tasha and Paige had drawn up and I just helped them develop there quick designs instead after trying for 2 hours. 


Paige’s designs where very similar to that of the Photography designs but where much more open plan and had a bigger space to them to accommodate the large amount of Graphic Design students. Tasha’s designs sported a strong back wall where a lot of the work would go, and then a few free standing islands to complete the design and help create the pod/spaces appeal of previous designs. 


After a bit to brainstorming and throwing around ideas we eventually came up with this as our final plan, overall I’m satisfied with it but I feel it could have been better but at this point in the process we are heavily hindered by time and as a cause of this the quality has suffered, but I do feel it is still perfectly useful and adequate. 


Afterword’s we drew up Fashion which simply consisted of a row of boards supported at the back; this would be to hold up a students work and display it in a row. Now the other fashion student was originally going to go in the space with her but has now come out saying she wants the small box room space to display her stuff, this does throw a bit of a spanner into the works but we can work with it and move the feedback space elsewhere. After all of these changes the last thing we wanted to do was to show the design to John, john being the man who generally takes reasonability for the boards, we showed him the designs to make sure they would be structurally safe and not be any sort of hazard. He said that everything was good apart from the set of boards for fashion which would need to have some sort of curve in them to make the structurally safe.

Overall it has been a really productive few days for the layout and I’m just glad that we have our full detailed design which we can show to the whole group on the say we come back and hopefully they will like it too. The only thing I wish we could do better is to be able to spend more time one it but at this point it needs to be done and when we come back we really need to start working on the budget and what we are going to need the verse what we aren’t going to need and sort all that out.
